Job Description:

GENERAL STATEMENT OF DUTIES:

The Inter Library Loan (ILL) Coordinator is the primary contact person for all ILL activities (Minuteman Library Network transfers, Commonwealth Catalog, document delivery, and Inter Library Loan) for all students, faculty and staff. This includes assisting library patrons in finding books and other materials at outside libraries, maintaining communication with patrons regarding requests, technical processing of interlibrary loan items, and all circulation functions regarding borrowing and lending through interlibrary loan. The Inter Library Loan Coordinator also assists with Access Services functions, including desk coverage and student worker training as needed.

SUPERVISION EXERCISED: Student workers and interns.

SUPERVISION RECEIVED: Access Services Librarian provides general supervision and maintains daily contact with the Library Assistant to ensure patrons' information needs and other priorities are met. Assigned work is reviewed and evaluations are to be conducted annually.

JOB RESPONSIBILITIES INCLUDE:

  • Processes interlibrary lending requests in a timely and efficient manner (using OCLC World Share the Commonwealth Catalog, Article Exchange and other systems as adopted);
  • Performs all network transfer processes (borrowing and lending) through the Minuteman Library Network on a daily basis;
  • Responds to ILL related questions from patrons (students, faculty, and staff) as well as institutions (lending and borrowing libraries, library departments etc.) in a timely, effective and proactive manner;
  • Serves at the Access Services desk as required, and participates in cross training to ensure all departmental responsibilities are performed in case of temporary absence of personnel;
  • Supervises, trains and evaluates student assistants, as needed, in consultation with the Access Services Librarian and Circulation Supervisor;
  • Refers bills or invoices to the library's administrative staff;
  • Participates in staff development activities and stays current with changes in ILL best practices, functionality within OCLC and Sierra software, and other developments in the field;
  • Serves on library committees as requested;
  • Communicates and coordinates with other library departments to achieve ILL and Access Services goals of service and resource utilization;
  • Special projects and other duties, as required.


Requirements:

MINIMUM QUALIFICATIONS:

Applicants must have at least (A) one year full-time, or equivalent part-time professional or clerical experience as a library assistant, or (B) any combination of the required experience and the substitution below.

SUBSTITUTIONS:

An Associate's degree or higher may be substituted for the required experience; education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.

PREFERRED QUALIFICATIONS:

  • Ability to learn ILL and Access Services software
  • Ability to follow detailed oral and written instructions
  • Ability to work independently, and to organize and prioritize work
  • Ability to work with the public and demonstrate excellent customer service skills
  • Ability to operate and troubleshoot library technology, including computers, printers, scanners, and copiers
  • Ability to effectively communicate with students, faculty, and staff and maintain courteous and cooperative relationships with coworkers
  • Ability to respond to changing work demands, to use good judgment, and make decisions as required
  • Ability to lift heavy book bins
  • Experience with library methods, practices, and procedures
  • Working knowledge of computer software used in the library, including III Sierra and the Microsoft Office Suite
  • Working knowledge of borrowing and lending processes in OCLC and/or Commonwealth Catalog



Additional Information:

This is a full-time, non-exempt, benefits-eligible position in the American Federation of State, County, and Municipal Employees (AFSCME) bargaining unit at the rank of Library Assistant II. The bi-weekly pay rate is $1,485.09 (Grade 12, Step 1).
