Access Services Associate: Evening Supervisor, Hampshire College

Hampshire College, an independent, innovative liberal arts institution and member of the Five College consortium, is accepting applications for an access services associate: evening supervisor to join the team in the Harold F. Johnson Library.

Reporting to the access services supervisor, the access services associate: evening supervisor is in charge at night during the academic year and summer programs. The evening supervisor performs a variety of library public service and clerical duties in support of the Access Services Department, takes the lead on Stacks Maintenance and its duties, and is responsible for the efficient management and maintenance of the print reserve collection.  This position requires working with other Five-College Reserve staff for loans of materials needed for course reserves as well as cataloging them into the Integrated Library System (ILS) for the Hampshire College community, and working closely with faculty to ensure their reserve lists are completed in a timely and courteous manner. Additional responsibilities include overseeing all functions related to patrons’ library bills and fines, including processing bills from the online library system; preparing manual bills and fines for lost, damaged and recalled materials; checking bills for errors; transmitting bills to Financial Services and the Five College libraries; and answering patrons’ billing questions.  It is essential the supervisor has skills in understanding established billing principals, library methods, procedures and the use of specific library tools.  The evening supervisor works with other Five-College billing staff to transmit Five-College fines and bills, conduct yearly Five-College billing reconciliation, and attend yearly billing meetings.  The evening supervisor will work at the InfoBar to provide general information on library services and answer inquiries regarding basic circulation policies; check library materials in and out; register new patrons; place holds on items; run reports using the library system software (Aleph); and provide information on the use of equipment.  This position will assist with the training, supervision and evaluation of student workers. The access services associate: evening supervisor will serve as daily backup for Interlibrary Loan and will complete any unfinished ILL processing from the day shift.  

Qualifications

Bachelors degree with two years minimum of circulation, Interlibrary Loan, Reserves, or other relevant library experience is required with responsibility for troubleshooting systems included.  Experience with OCLC, ILLiad, library acquisitions, and an Integrated Library System (e.g. ExLibris Aleph) preferred.  The access services associate: evening supervisor must have excellent oral and written communication, organization, and problem-solving skills, and the ability to work independently with minimal supervision. Proficiency with a/v software; excellent knowledge of MS Office products; and comfort dealing with numbers and the processing of financial information preferred.  Successful candidate should have a strong record of progressively responsible leadership, managerial, and supervisory experience preferably in an academic environment; be pro-active and able to initiate projects; and possess creativity with passion for supporting a collaborative work environment. A demonstrated commitment to work effectively with a diverse group of faculty, students, administrators, staff, and customers is essential. The access services associate: evening supervisor should have an enthusiastic service orientation with sensitivity to the needs of users at all skill levels; the ability to convey technical information to a non-technical audience; and be able  to maintain a professional and tactful approach in all interactions, ensuring confidentiality and an individual’s right to privacy regarding appropriate information. Flexibility to accept, manage, and incorporate change, and the ability to manage multiple tasks and priorities simultaneously and effectively in a fast-paced environment is crucial. This position requires flexibility with a schedule that includes nights and weekends, and ability to travel within the consortia to professional meetings and events as needed. Applicants should be able to lift a minimum of 25 pounds.

This full time, 35 hour /week benefited position holds a grade 3 in the Hampshire College staff salary grading schedule. The work schedule for this position is Tuesday through Friday:  2-10 pm.; and Saturday: 9 am-5pm.   Hours may vary in the summer and during breaks; schedule is subject to change depending on the needs of the library.
