Administrative Assistant, WELLESLEY FREE LIBRARY FOUNDATION INC (Wellesley)
The Wellesley Free Library Foundation is seeking a reliable, detail-oriented Administrative Assistant to support the Foundation’s fundraising and event efforts. This part-time role involves both administrative and logistical support, with increased hours required during peak fundraising season in March, April, and May. Reports directly to the Director of Development.
Key Responsibilities:
Gift Processing & Data Entry:
-Process incoming donations and generate acknowledgment letters
-Maintain accurate donor records and support database upkeep
Event Technology & Data Management:
-Build and manage fundraising/event pages using OneCause
-Support backend data entry and platform maintenance for online giving and event tools
Event Logistics & Support:
-Assist with planning and preparation for the biennial Gala and Books in Bloom events.
-Help coordinate vendors, ticket sales and guest communications.
General Administrative Support:
-Provide additional clerical and project-based assistance as needed to ensure the smooth operation of the Foundation
Qualifications
Strong attention to detail and organizational skills
Comfortable working with databases and digital platforms; OneCause experience a plus
Ability to manage multiple tasks and deadlines independently
Previous experience in nonprofit, fundraising, or event environments preferred
Flexible availability, especially during March–May
