Interlibrary Loan Librarian, Shrewsbury Public Library (Shrewsbury)

Under the general supervision of the Manager of Access Services, the Library Professional Associate – Interlibrary Loan Librarian is responsible for managing the library's borrowing and lending of materials to and from other libraries in the CW MARS consortium, through the state-wide Commonwealth Catalog, and from out-of-state libraries and academic university libraries. Follows department rules, regulations, and policies, requiring the ability to perform detailed operations, manage and prioritize tasks, communicate effectively with all staff and complete tasks according to a prescribed time schedule. Performs varied and responsible duties requiring a thorough knowledge of departmental operations, and the exercise of judgment and initiative. Assumes a supervisory role during night and weekend shifts, providing leadership and ensuring a smooth operation.

Interlibrary Loan (ILL) and Outreach Services

●      Manages effective, cost-efficient, and timely interlibrary loan services through CWMARS, CLIO, Commonwealth Catalog, and other consortia.

●      Processes interlibrary loan requests, maintains all related files and reports, oversees the open hold shelf, and manages shipments and transfers of items.

●      Supports staff with complex interlibrary loan requests and resolves borrowing/lending issues; notifies patrons when requests are filled or cannot be fulfilled.

●      Coordinates and manages book orders and holds for approximately 10 local book groups, including communication with schools and other community groups, procurement of copies, and ensuring timely returns.

●      Collaborates with the Outreach Librarian to procure and manage holds for homebound patrons, preschools, and day care centers, including themed book selection and interlibrary loan as needed.

Collection Development and Management

●      Reviews the library’s Collection Development policy annually; makes informed decisions about the adult fiction collection based on community needs.

●      Builds and manages the adult fiction collection across multiple genres, including selecting new items, analyzing circulation trends, managing budgets, and weeding outdated or low-demand materials.

●      Collaborates with acquisitions and other staff to make purchasing decisions and ensure collection relevance.

●      Analyzes holds and circulation patterns to inform purchasing and collection strategies.

Customer Service and Patron Assistance

●      Provides excellent customer service at Circulation, Children’s, and Reference desks, assisting patrons in locating materials, checking materials in/out, and answering directional and informational questions.

●      Assists patrons with library card applications, replacements, and usage of print and online resources.

●      Resolves patron conflicts and emergencies, referring to management or police as appropriate.

●      Provides support to other libraries and patrons via phone, email, and correspondence.

Technology and Staff Support

●      Trains and supports public service staff on Integrated Library System (ILS) functions to ensure efficient library operations.

●      Uses computers and online systems to enter, retrieve, and manage information in library databases.

●      Supervises library pages and volunteers.

Professional Development

●      Continuously expands professional knowledge by staying informed of current trends, issues, and best practices in public libraries.

●      Participates in workshops, training sessions, and meetings related to ILL and access services.

Additional Duties

●      Performs other related duties as assigned, maintaining flexibility and responsiveness to library needs.

Qualifications

A Bachelor's Degree is required; a Master's in Library and Information Science from an  ALA-accredited program is preferred. A minimum of two years of experience using  Integrated Library System (ILS) software in a public library setting is required.

Ability to foster and maintain positive, collaborative relationships with the public, staff, and external agencies, while effectively working as part of a team. Demonstrated ability to work independently, take initiative, and manage tasks with minimal supervision.
