Resource Sharing Specialist for Borrow Direct, Harvard University / Harvard Library

Access Services staff members are expected to provide services at the highest level of patron satisfaction while utilizing best practices to meet patron needs. Additionally, Access Services staff members are committed to delivering high-quality customer service and timely access to collections; maintaining the integrity and security of library resources and materials; and accommodating user needs in accordance with the priorities and objectives of the Harvard Library.

Reporting to the Resource Sharing Manager, this position is responsible for borrowing materials on behalf of Harvard patrons and providing access to Harvard Library collections for the use by other libraries and individuals worldwide in an efficient, timely and cost effective manner through the use of resource sharing tools and best practices, and assists with the day-to-day operations of the Borrow Direct operation within the Resource Sharing unit. 

Duties & Responsibilities

Resource Sharing:

Assists with the hiring, training, scheduling, and assigning work to student assistants for Borrow Direct operations
Assists with Borrow Direct operations for the lending, borrowing, and pulling of materials to participating libraries
Serve as primary contact for correspondence between Harvard and all Borrow Direct partner libraries
Provides high level of customer service to patrons and Borrow Direct partner libraries including troubleshooting, answering all billing inquiries, following up on Borrow Direct items that have been claimed returned, consulting with the Library Billing office as appropriate
Edits, creates and maintains web forms and web pages for Resource Sharing workflows
Processes resource sharing requests placed by Harvard patrons to be loaned or scanned from lending libraries.
Explains resource sharing policies to patrons.
Uses a variety of tools, including database, spreadsheet, presentation, and reporting applications, to gather data and prepare reports as directed by Resource Sharing Manager.
Uses various electronic or manual methods to verify citations and locate difficult items.
Interprets resource sharing borrowing policies and procedures.
Oversees the processing of materials for Harvard patrons.
Creates updates and maintains borrowing requests in resource sharing software.
Creates and updates library records in the circulation subsystem (currently Aleph). Charges and renews materials in Aleph.
Actively participates in resource sharing initiatives university-wide.

Other responsibilities:

Participate in library-affiliated discussion
Collaborate with other library departments and units on projects and workflows
Participate in the development, interpretation, and implementation of policies and procedures
May be cross-trained to work in Access Services departments at other Harvard Libraries 
Contribute to the overall goal of the department as appropriate
Other projects and duties as assigned

Basic Qualifications

Two plus years of library experience, preferably in an academic library
Strong public service orientation, with previous library or customer service experience required
Computer skills must include Microsoft Office Suite, especially Word and Excel

Additional Qualifications

College degree or college-level coursework preferred
Experience with a library management system, especially Ex Libris’ Aleph or Alma systems preferred. Experience with ILLIAD preferred.
Prior experience with hiring, training, scheduling, and the distribution of work with student or temporary staff preferred
Sensitivity to working in a diverse user environment with tact and discretion
Adaptable and able to adjust to changing workplace needs
Ability to prioritize multiple tasks and work productively in a team environment
 Demonstrated experience taking initiative and actively seeking out opportunities to improve services and help colleagues. Ability to work with diverse audiences from across the University and peer institutions.
Ability to solve problems effectively and exercise discerning judgment
Ability to prioritize multiple tasks and work productively in a team environment
Ability to perform repetitive work tasks with overall accuracy, effectiveness, and attention to detail and outstanding organizational skills required
Must be energetic, flexible, and team oriented.
Demonstrated aptitude for problem solving and performing neat, detailed, accurate work required and experience with productivity tools (i.e. Macro Express)
