Harvard Depository Manager, Harvard University / Harvard Library (Southborough)

The Harvard Depository is a customer-focused storage facility housing primarily paper-based library collections and records, located approximately 30 miles west of Boston.  Founded by the Harvard University Library in 1986, the HD's primary service responsibility is to meet the storage & retrieval needs of the University's libraries, archives, & administrative offices. The restricted-access facility provides a strictly regulated media preservation environment, precise inventory-tracking controls, efficient online retrieval ordering and dependable overnight delivery of materials requested from storage.  The Harvard Depository houses over 11 million items with an average of 417,000 accessions, 218,000 retrievals, and 200,000 refiles annually.

Job-Specific Responsibilities

Harvard Library seeks a collaborative professional to manage the Harvard Depository’s day to day workflow, optimizing the operational effectiveness of the building and staff. The Harvard Depository Manager leads and oversees and leads the work of staff engaged in providing efficient services in a warehouse environment, engaging with and providing excellent customer service to a range of stakeholders, internally and externally to Harvard.

Reporting to the Associate Director of Access Services for Collections Management and Resource Sharing Operations, the Harvard Depository Manager participates in the Access Services Extended Leadership team, actively engaging with Access Services managers to develop shared policies that support a consistent user experience.

Responsible for the effective supervision of up to 14 FTE staff including prioritizing and assigning work, performance management, and training. Evaluates and recommends on workflow and process improvement.
Provide excellent customer service to client base in excess of 500 offices, department heads, library staff, and external stakeholders.
Participate in planning and execute short and long-range projects and planning activities.
Work closely with Harvard Library facilities team to ensure a clean and safe working environment in buildings and grounds. Assists in or coordinates equipment maintenance. Responds to emergency situations as appropriate during both working and off-hours.
Coordinate with Harvard Library Finance and Administration to ensure prompt and accurate billing.
Coordinate with ReCAP partners for seamless delivery from all remote storage locations.
Responsible for all scheduling of out-sourced moves and arranging with 3rd party vendors and stakeholders.
Using Excel and other statistical methods, works with Associate Director and Library Assessment department to ensure accurate data tabulation.
Participate in University and Library-wide committees and working groups.
Monitor progression and trends in utilization of storage space; plans new and modified shelving configurations as appropriate.
Plan for future operations, as indicated by daily operational trends; works with Associate Director to prepare for staffing and budgetary support for operations.
Assists in the development, implementation and monitoring of library specific processes and protocols for the protection of the collections during maintenance, emergency repairs, safety programs and renovations.
Works with Environmental Health & Safety and Building Operations to ensure all workplace safety guidelines are adhered to.
Works with Building Operations and Harvard University Office for Sustainability staff to implement best operations and maintenance practices, and to actively participate in greenhouse gas and energy reduction efforts and goals. 
Coordinates with Harvard Library Preservation and Facilities to ensure collections are protected and preserved

Critical/Essential Status: During emergency situations and severe inclement weather this position is designated as essential and critical to the operations of the Harvard Depository.


Basic Qualifications

Minimum five years successful hands-on supervisory experience, ability to coach a team, and address changing dynamics in the workplace.
Previous experience in warehouse operations and practices or other related experience.
Experience using metrics to monitor and improve unit performance.
Experience with Microsoft Office and Microsoft Excel
Valid driver's license with no recent violations.

Additional Qualifications and Skills

B.A. or B.S. from an accredited institution of higher education or equivalent combination of education, training, and experience.
Experience and comfort working in collaborative and participatory environment with organized labor force.
Excellent leadership, coaching, interpersonal, communication, and problem resolution skills.
Knowledge of special collections materials and library preservation principles is a plus.
Record of developing and implementing new ideas in a complex, knowledge-creating organization.
Ability to effectively communicate with staff at all levels of the organization.
Ability to prioritize multiple tasks and work productively in a team environment.
Demonstrated aptitude for problem solving.
Excellent customer services skills and concern for a high quality of services.

$79,000.00 - $135,000.00  / Competitive salary & ben.
