The Harvard University Archives (HUA) seeks a Senior Digital Records and Information Manager (SDRIM) to support the Archives' goal of transitioning to a digital-first records management environment. Reporting to the Associate University Archivist for Collection Development and Records Management Services (AUACDRMS), the SDRIM will play a principal role in developing and leading a born-digital records and information management program designed to ensure appropriate and secure identification, classification, storage, retrieval, and preservation or destruction of Harvard University's digital content and electronic records in compliance with federal, state, and local laws and regulations.

The SDRIM will provide leadership in the transformation of HUA and Harvard's records management program from paper-based to an electronic content model by addressing key challenges posed by the transition to a born-digital records environment. This position will recommend strategies for and participate in agency-level planning, goal setting, and development of records and information management (RIM) policies and role-based training requirements and collaborate with other Harvard Library and Harvard University stakeholders to ensure compliance, verification, authentication, and related activities that build and sustain a comprehensive electronic records management program.

The SDRIM will be a member of the senior Collection Development and Records Management Services (CDRMS) team, along with the Senior Records Manager/Archivist, the Senior Collection Development and Electronic Records Archivist, and the Senior Collection Development Curator/Archivist, and assist the AUACDRMS in overall planning, coordination, policy, and workflow development, including strategies and goals for the collection and appraisal of University records of long-term historical significance.

The successful incumbent will have strong experience directing, developing, planning, and implementing digital content-focused records management or information governance programs; building and sustaining effective working relationships with a variety of stakeholders at all levels of the organization; persuasive and diplomatic interpersonal and communication skills, including the ability to communicate and present complexity with clarity, enthusiasm, and impact; familiarity with information security and IT service management concepts and processes; a broad knowledge of server, database, and storage infrastructures both onsite and in the cloud; comfort working at scale in a large and decentralized landscape; technical and interpersonal skills to thrive in a fast-paced, forward facing work environment; and commitment to equity, diversity, inclusion, belonging, and antiracism.

The Harvard University Archives has recently joined with the Eda Kuhn Loeb Music Library, Fine Arts Library, Harvard Film Archive, and Houghton Library to create Archives, Arts, and Special Collections of Harvard Library, a new administrative unit currently planning integrated approaches to technical and public services for archives and special collections across the portfolio.

Position Description

  • Provide leadership in the transformation of HUA and Harvard's records management processes from paper to digital-based.
  • Partner with Harvard University IT and other stakeholders across the University (Library/Archives, Library Technology Services (LTS) and Harvard University Information Technology (HUIT), Risk Management and Audit Services, School Registrars, the Office of General Counsel, etc.)¿to plan and put into production a comprehensive digital-first records management environment that ensures protection for important/historical University records.
  • Develop an end-to-end workflow for digital university records from record creation and storage in an enterprise content management system (ECM) or other systems and databases to the University Archives and ultimately the Library's Digital Repository Service (DRS).
  • Build automated processes for records review and retention, including destruction of non-permanent born-digital records and preservation of archival records.
  • Collaborate with the Senior Records Manager/Archivist and Senior Collection Development and Electronic Records Archivist to revise Harvard records management policies and systems to reflect digital environment, including implementing a modern online system for schedule development, migrating content and ensuring provisions for daily updates and electronic sign-off, and integrating General Records Schedule content into Harvard's enterprise-wide vital record systems and activate records management modules.
  • Work with HUIT and other stakeholders to develop a secure, accessible online environment to access Harvard's records schedules and allow for dynamic and refined search capabilities.
  • Align HUA policies with information governance guidance across university policies and offices, including policies relating to access to electronic information, retention and maintenance of research records and data, and authorization of destruction of digital content.
  • Under the leadership of the AUACDRMS, collaborate with CDRMS colleagues to design and implement records management policy training for Harvard employees (e.g. at onboarding and in annual signoff) and deliver in Harvard Training Portal and the HUA website; participate in delivery of educational sessions for University staff, students, and faculty.
  • Provide high-level guidance to offices for developing, implementing, and improving born-digital record keeping systems and practices.
  • May supervise staff, student employees, and interns.



Basic Qualifications

  • Master's degree in library/information science/archives, or equivalent with successful completion of records management and archives coursework.
  • Minimum of 7 years professional experience in records management.
  • Demonstrated experience in developing and maintaining a comprehensive electronic records management program.
  • Must be able to travel independently to other work locations as needed, including to Southborough, MA.

  • Demonstrated commitment to ongoing professional development and growth, such as strong and active participation in records management and/or archives professional and continuing education programs.
  • Certification as a records manager (CRM) preferred.

Working Conditions

  • The position will be based on our campus in Cambridge, MA.; however, there may be the opportunity for a flexible or hybrid work model compliant with Harvard University remote work policies.
  • At times may work in basements, attics, warehouses, and other records storage areas that may be dusty or moldy.
