Stacks Management Student Workforce Operations Supervisor - Library Assistant III, UMass Amherst (Amherst)

Job Summary

As Stacks Management Student Workforce Operations Supervisor - Library Assistant III, provide leadership, coordination and oversight of the Libraries’ Stacks Management student staff team. Develop and document workflow procedures, provide training resources, and implement training programs to support a proficient student staff team. Coordinate assignment of material processing workflows for 20-25 student staff.

Essential Functions

- Provide leadership, coordination and direct supervision of the Du Bois Library’s Stacks Management student staff team. Coordinate departmental student staff scheduling and workforce management processes using an online management platform. Assign privileges; provide training and guidance in the use of this tool for student supervisors in Access Services. Coordinate communication between supervisors on all shifts. Ensure accuracy among student staff who perform item fulfillment and process workflows.
- Oversee the development, documentation, and implementation of Du Bois Stacks Management student staff training programs and resources. Direct the activities of Stacks Management Student Staff Peer Training leaders while working closely with student supervisors to coordinate student staff training and support. Facilitate and oversee student staff training sessions and develop testing and training assessment as needed. 
- Interview job applicants, train student employees, evaluate performance and productivity, and recommend disciplinary action when necessary to meet personnel needs. Liaise with Library Human Resources as needed to ensure accurate recordkeeping, timekeeping, and hiring documentation. Maintain records on student attendance compliance and promotions and maintain confidential disciplinary documentation of student employee reprimands and warnings. Exercise, communicate, and document progressive discipline measures as necessary in accordance with the Libraries’ standard policies.
- As Stacks Management lead on the Supervisors of Access Services Student Employees (SASSE) team, collaborate with student supervisors across other Access Services functional units to coordinate student schedule, mutual support and cross-training efforts.
- Coordinate and supervise work of student staff in the receipt, sorting, and distribution of returned and/or newly acquired materials and the re-shelving of materials to appropriate locations in collaboration with co-workers. Update status of missing materials sweeps and pick up of un-shelved library materials in public areas of the Du Bois Library and record in-house use. Ensure that Du Bois library collections are maintained in proper classification order.
- Provide information service to patrons and staff as needed, including but not limited to borrowing and lending assistance. Use a high degree of independent judgment in responding thoroughly and accurately to questions received in person, by phone, and online. Consult with other departments in the Libraries and on campus as needed and staff and refer questions as necessary.
- Collaborate with colleagues to plan for and execute collection reconfiguration projects and identify areas where shelf-reading, shifting, and pulling are needed for ease of use and re-shelving.
- Provide backup to and cross-train as needed with other Access Services unit staff. Consult with and refer questions as appropriate to other departments and staff within the Libraries and on campus.
- Identify and collect materials needing special repairs and change status to repair in library systems.
- Demonstrate, foster and cultivate a positive, proactive internal and external customer service culture.
- Actively follow information shared through various Library and university communication channels. Contribute to unit, department, and library-wide information sharing as appropriate.
- Operate motor vehicle to work sites.

Other Functions

- Participate in the Libraries’ Assessment Program by collecting, maintaining, and recording usage statistics as needed.
- Work collaboratively to promote teamwork, diversity, equity, and inclusiveness within the workplace.
- Attend professional development activities and training as assigned or required to meet departmental goals and objectives.
- Serve on internal committees as needed.
- Perform other related duties as assigned and in support of the mission and goals of the Libraries.

Physical Demands/Working Conditions

Typical office environment.

Work Schedule

- Work a schedule of: Tuesday - Thursday 9:00am – 5:00pm, Friday 11:30am – 7:30pm, and Saturday 9:30am – 5:30pm during the academic semester.
- Work a schedule of: Monday - Friday 9:00am - 5:00pm during summer and winter session and spring break week periods.
- Some occasional evening and weekend hours as assigned depending on operational coverage needs.


Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

- High School diploma plus two (2) years of work experience in library services or in an automated inventory & logistics role or similar work setting; or a four (4) year college degree plus one (1) year of work experience in library services or in an automated inventory & logistics role or similar work setting.
- One (1) year of experience supervising students or permanent staff involving training, oversight, assignment, and evaluation of work.
- Successful prior experience in a position requiring excellent communication and interpersonal skills and strong service orientation to overcome obstacles and provide creative solutions.
- Current valid Driver's License.

Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

- Experience working in an Academic Library.
- Four-year college degree.
