Executive Assistant, Winthrop Public Library & Museum (Winthrop)

DEFINITION 

This position is responsible for assisting the Library Director in managing many of the functions of the library, including administration, staff supervision, budget-planning, community outreach and care and use of the library building. Assumes the responsibilities of the Director in their absence.  



ESSENTIAL FUNCTIONS

·         Assists the Director in planning, promoting, coordinating, conducting, and providing services, operations, and programs that respond to the needs of patrons and encourages residents’ participation. 

·         Processes all billing for the library through the Town accounting department; liaises with the accounting department regarding library purchases.

·         Processes all deposits received including late fines, lost materials and books, copies made from public computers, and donations.

·         Assists in managing staff regarding the library physical plant and operations, especially during the director's absence.

·         Assists the Director in processing new hires, including tax forms and other documentation. 

·         Provides circulation services and other basic patron assistance.

·         Assists the Director in budget preparation, short- and long-range planning, grant management, developing and implementing policies, procedures, and services, presenting reports and recommendations to the Trustees, and communicating with and engaging stakeholders.

·         Performs other related job duties as required. 

Qualifications

EDUCATION AND EXPERIENCE 

Bachelor’s degree or equivalent and 1 to 3 years of related experience; or any equivalent combination of education, training, certification, and experience.



KNOWLEDGE, ABILITY, AND SKILLS 

Knowledge: Knowledge of relevant Massachusetts General Laws related to essential functions. Knowledge of common policies, practices, and procedures of a municipal library department and office operations and of laws and regulations pertinent to position functions. Knowledge of book-keeping and accounting practices. Knowledge of office software (word processing and spread sheet applications), social media, and the internet in support of department operations. Knowledge of basic library reference materials and online databases. Knowledge of literature, current titles of books, and trends in patron interests and preferences.  



Abilities: Ability to multi-task and manage conflict. Ability to communicate effectively both orally and in writing. Ability to maintain good public relations and to maintain effective collaborative working relationships with Town departments, department heads, fellow employees, officials, and the general public, and to respond in a courteous and professional manner. Ability to meet deadlines. Ability to work independently. Ability to interact effectively and appropriately with the public and other personnel in a supportive, tactful, and courteous manner, perform multiple tasks in an organized, accurate and timely manner. Ability to multi-task in a detailed and organized manner.  



Skills: Effective communication skills, problem-solving skills, management and supervisory skills, and customer-service skills. Proficient skill in the operation of a personal computer and office equipment and the application of office software including word processing, spread sheet, and data base management applications; proficient keyboarding and customer service skills; proficient written and oral communication skills.
